Milagros Gamarra Legal – Operations Manager \u2013 Piramide Group<\/p>\n \u00a0<\/em><\/p>\n [\/vc_column_text][vc_separator type=”transparent” up=”20″ down=”20″][\/vc_column][vc_column width=”4\/6″][vc_column_text]AEO has been widely talked about in Peru among professionals in the field of foreign trade but few actually know what it is and implies to be qualified as an AEO.<\/p>\n I remember the conversations with my father – General Manager of Piramide Group \u2013 evaluating whether we should apply to certify as AEO or not. We were aware that being certified as an AEO entails a series of added demands from us. So, were we ready to assume the commitment? After analysing the impacts that AEO would generate we decided to go ahead and start the certification process.<\/p>\n The process that a company must go through to obtain AEO certification is not easy. It is not only about establishing new processes, meeting additional requirements and you are ready to file your application. It goes much further than that. As customs agents and therefore part of the logistics chain, ethics comes first, and because AEO is about being a trusted trader this must be demonstrated in each of our actions.<\/p>\n Once we made the decision to get certified as AEO, the question was: What is the simplest, fastest and least expensive way to go about it? Should we do it on our own? Should we get specialized advisory services to help us? In our case, we chose the latter. The offer of AEO consultancy services in Peru is quite small. We got in contact with Export & Import Consultancy, who understood that our goal was not only to obtain the certification, but rather we were looking for developing processes that are coherent with the reality of our company and that do end up being just a file in our systems. We wanted usable, simple and realistic processes and guidance.<\/p>\n What did it entail to prepare to be an AEO? The implementation phase demands a lot of responsibility and commitment not only from the employer but from the entire company. It took us approximately 4 months to assemble the processes according to our reality and needs, to train the staff and to acquire some additional IT equipment. I know sother companies take less time. There is no average period for AEO implementation, this will depend on the reality of the company and especially on the commitment and effort put into everything being done to high professional standards.[\/vc_column_text][vc_separator type=”transparent” up=”20″ down=”20″][vc_single_image image=”3895″ img_size=”full” qode_css_animation=””][vc_separator type=”transparent” up=”20″ down=”20″][vc_column_text]From a project global perspective, I\u2019d like to highlight the following points:<\/p>\n – People: Being an AEO generates responsibility. So, it demands that all team members are adequately trained both in legal and operational relevant matters, as well raising awareness on what it means to hold this qualification. Thus, we held weekly meetings to share and discuss on improvements, difficulties and steps forward. All employees participated in these meetings, so that they are committed to the process and can give their opinion on relevant topics. As in any project, there must be a person responsible for the correct execution of the new processes. We appointed a person from the team who was responsible for providing timely necessary information.<\/p>\n – Review and documentation of work processes: While we already had processes in place and documented, these did not fit our needs, because they were very complex and were designed according to the reality of years ago. Therefore, we had to review each of the processes. This implied self-analysis of our work and as a result we were able to determine opportunities for improvement and make the necessary changes. A very simple example is reducing bureaucracy for authorization for a DAM number.<\/p>\n – Is it worth investing time and money to become an AEO certified operator? I have no doubt about the operative benefits generated by the AEO status and the contribution to developing added value services for clients. Internally, it helped us to further improve our work in a responsible and professional manner.<\/p>\n – Would I go through the whole certification process again? Without thinking I say yes. The implementation process allowed us to review what we do every day, learn new lessons and make the necessary changes.<\/p>\n As it was said at the beginning, the AEO certification process is not easy. It can be exhausting. Demanding that everything goes perfect and fast can be also frustrating. But that is where the support of an experienced person plays a very important role. In this case, it was my father, with whom, despite the many discussions we had along the way, we were able to find what I call the generational balance that allowed our common project to be completed and to submit our application to be an AEO agency.<\/p>\n The market environment is changing continuously. It presents new challenges and opportunities. The AEO is one of them. Piramide Group understood it as such and set out on this road.
